As an Event & Office Coordinator, you will be responsible for planning and executing a wide range of events, from corporate meetings to social gatherings and overseeing administrative functions for the Office of the President.
The ideal candidate will have strong organizational and communication skills, as well as the ability to manage multiple tasks simultaneously.
Responsibilities:
Event Coordination (60 %) - Plan and coordinate all aspects of events, including venue selection, catering, transportation, and audiovisual needs - Develop event budgets and track expenses using accounting software - Manage event timelines and ensure all tasks are completed in a timely manner - Collaborate with clients to understand their event objectives and provide recommendations - Coordinate with vendors and suppliers to secure necessary equipment and services - Oversee event setup, including arranging seating, decorations, and signage - Supervise event staff and volunteers to ensure smooth execution of events - Handle event registration and ticketing processes - Communicate event details to attendees and provide necessary information prior to the event - Conduct post-event evaluations to gather feedback and identify areas for improvement - Collaborate with marketing designee(s) on event flyers and communication timelines Office Coordination (40 %) - Oversee day-to-day office tasks - Schedule meetings and manage calendars - Maintain policy manuals and standard operating procedures manual - Maintain staff directory and emergency phone tree -Perform other duties as assigned Supervision Provides functional supervision to youth trainee office/events staff, including student interns Skills Required:
- Strong budgeting skills to effectively manage event expenses - Excellent team management abilities to coordinate staff and volunteers - Proficiency in QuickBooks or similar accounting software for budget tracking - Strong clerical skills for managing paperwork and documentation - Ability to supervise and delegate tasks to ensure efficient event execution - Exceptional schedule management skills to meet deadlines and handle multiple events simultaneously - Excellent communication skills, both written and verbal, to effectively interact with clients, vendors, and attendees - Highly organized with strong attention to detail for seamless event planning and execution - Proficient in office management tasks such as scheduling appointments, managing calendars, and maintaining records Education Required:
Minimum of High School Diploma or equivalent.
Preferred Associate's Degree in Business Administration or current college student junior or senior standing.
